Since men have entered
this profession there are no stereotypes any more. Computers have largely
taken over from the conventional typewriter and a modern day secretary
needs to be computer literate.
The old fashioned filing system still clings firmly and all hard copy has
to be stored in files - just as before - but backup computer disks offer
instant availability of information and records. Voice recorders do away
to a certain extent with the once familiar notebook, pencil and shorthand
writing but the latter are still invaluable assets if the electricity
supply breaks down. As a secretary, you must have the best interests of
the firm for whom you work at heart and be able to keep your private life
and professional life totally separate if possible.
Company secretaries hold key posts in any company and it would be your
responsibility to ensure that your company was legally constituted,
economically viable and properly organised. In order to do this, the
entire spectrum of business management and administration with
responsibilities ranging from research and planning to financial and legal
matters, from accounts and computerisation to taxation, economics and
personnel management would be your responsibility. Company secretaries
also submit financial returns at the end of each year.
Company Secretaries are often the backbone of a company or business and
often receive promotion to a position on the board. They are the people
who keep the wheels rolling smoothly and iron out the daily bumps of every
nine-to-five day. Many successful executives and owners of large
corporations admit that without their company secretaries they would not
only be nervous wrecks but would lose a great deal of money due to their
own inability to handle the daily stress which slides off their shoulders
and rests on those of their secretaries. You need to be a rather calm
person if you envisage working for a large company or for any company that
has a hectic schedule. It can be very stimulating if you have the ability
to find quick solutions to problems and rather exciting if you are
something like the right-hand-man of the editor of the Daily Mail!
Political, legal, municipal and government secretaries, etc., need to
learn special skills when they are appointed but they are usually given
into the capable hands of an experienced person who is able to teach them
the ropes before allowing them to go on alone. A good speaking voice and a
pleasant telephone manner are essential and if you are more than
bilingual, it will be a great advantage when applying for the better paid
positions. The ability to spell is also extremely important and necessary.
