Telephone Etiquettes
By Rupal Jain The English Dictionary describes “Etiquettes” as the rules for socially acceptable behaviour. It refers to certain norms, standards and code of conduct that guides an individual and shows them how to behave with others. There are various types of etiquettes like dining etiquettes, telephone etiquettes, meeting etiquettes, party etiquettes, e-mail etiquettes and so on. Here are few guidelines for Telephone Etiquettes which one must remember: - 1. Avoid using cell phones at hospitals, job interviews, funerals, temples, flights, cinema theatres, concert halls, while driving, during meetings and seminars. 2. Before making any call; know the receiver and the purpose of the call. 3. Prepare and draft the structure of the conversation before the call as the call should be precise, short, sweet and brief. 4. Learn to say “thank-you”, “sorry” and “you are welcome”. 5. Be Patient, Cheerful, Polite, Friendly and Enthusiastic. 6. Speak clearly with confidence to avoid misunderstanding or misinterpretation and use appropriate non-verbal communication like proper tone/pitch for modulation of voice. 7. Never use slang language, don’t shout or scream on phone. 8. Repeat the key/vital points, if necessary. 9. Know the right time to give a call. 10. Don’t be rude to the caller; be considerate, calm and courteous. 11. If you don’t know the caller; ask his/her name, name of his/her company, his/her designation and the purpose of calling. 12. Finally, be an active and attentive listener, don’t interrupt the conversation.
